Glow Accounting Limited (we, us or our) respects your privacy and is committed to complying with the provisions of the Privacy Act 2020 that relate to how entities handle personal information.

This Privacy Policy sets out how we manage personal information and applies to all personal information collected by us, or submitted to us, whether offline or online, including personal information collected or submitted through our website and any mobile sites, applications, widgets and other mobile interactive features (collectively, our Apps), through our official social media pages that we control (our Social Media Pages) as well as through email messages that we send to you (collectively, including the Social Media Pages, Apps and Websites, the Sites).

We may update this Privacy Policy from time to time, with the latest version published on our website www.glowaccounting.co.nz.

Why we collect, hold and use personal information

We collect, hold, and use and disclose personal information for a variety of purposes in connection with our functions and activities as a provider of accounting, bookkeeping and taxation services, including:

  • fulfilling our role as accountants, including engaging with potential clients;
  • fulfilling our contractual and other regulatory obligations;
  • assessing or improving our services, as well as for training and quality purposes;
  • internal and external governance functions, such as in relation to responsibilities and obligations under applicable laws, codes, policies, practices and guidelines;
  • promotional and marketing purposes, including communicating information about our or third parties' products and services (with your consent);
  • organising and hosting training and events (including with third parties);
  • for complaints handling or data analytics purposes; and
  • for any other purpose permitted by law.

 

What kinds of personal information do we collect and hold?

We try to collect only the personal information we require for the particular function or activity we’re carrying out.  Types of personal information we typically require include:

  • contact details, such as office addresses, home addresses, telephone numbers and email addresses;
  • personal details, such as dates and places of birth and IRD numbers;
  • business details, such as company name and number, IRD numbers and bank account details;
  • information you make available on the Sites;
  • records of your communications and other interactions with us;
  • copies of, or information from, identification documentation including a drivers’ license and passport;
  • biometric information (with your consent, if required) including a video recording or photograph of your face and your biometric keystroke pattern to the extent it is relevant or necessary to our functions and responsibilities.

From you: We may collect personal information from you when you contact, do business or interact with us by phone or email.

Through the Sites: We may collect personal information from Sites, such as when you visit, use or register on our Website, Apps or Social Media Pages, join (or request to join), post in or otherwise contribute to a Social Media Page, or when you complete a survey.

From third parties: We may receive your personal information from other sources, such as public databases, government and statutory bodies and service providers.

Provision of Third Party Information

By consenting to this Privacy Policy, you confirm that, in any instance where you provide us with the personal information of a third party, you have:

  • obtained the consent of that individual to our collection of the individual's personal information and our use of that personal information in accordance with this Privacy Policy; and
  • prior to obtaining the consent of that individual, made all reasonable efforts to provide them with a copy of this Privacy Policy or advised the third-party that a current copy of this Policy can be found on our website (www.glowaccounting.co.nz).

     

    Direct Marketing

    Communicating to our clients and subscribers about our services forms an essential part of our activities. These communications can include:

    • newsletters and other information publications;
    • surveys;
    • details about events;
    • information about our services;
    • benefits offered by our marketing partners.

    We send this information, as well as other direct marketing material through a variety of channels, including email, mail, SMS, and through posts on our Social Media Pages.

    You are able to opt-out of direct marketing buy using the unsubscribe option made available on communications from us.

    Communications which are not direct marketing cannot be opted-out of as they are core to our functions and activities.

    We will not sell your personal information to third parties.

     

    Access and correction of personal information

    Individuals may request access to their personal information unless we are permitted by law to withhold that information. Individuals may also request the correction of any personal information which is inaccurate.  Any requests for access or correction of your personal information should be made in writing to hello@glowaccounting.co.nz or via the contact us form on our website.

    We will endeavor to respond to any access or correction request within 5 working days of receipt.

     

    Security of personal information

    We use reasonable organisational, technical and administrative measures and security safeguards to collect and protect, as is reasonable in the circumstances, the personal information we hold from misuse, loss, interference and/or unauthorised access, use, disclosure or alteration of information under our control.  Where practicable, we implement measures to require organisations to whom disclosure is made to comply with applicable data protection and privacy laws. If a third-party is given access to personal information we take reasonable steps to ensure that the information is held securely and used only for the purpose of providing the relevant service or activity.

    Unfortunately, no data transmission over the internet or data storage system can be guaranteed to be 100% secure.

    What other information do we collect?

    The Sites collect other information that may or may not be personal information. Other information includes information, such as:
